Transition Preparation Guidance for Treasurers of Overseas Branches

This document contains information, guidance, and required actions, for Treasurers based in Cyprus, Thailand, Germany and France prior to the transition into NDP.  All Branches will transition into NDP and onto GoAssemble during the week of June 8th 2026.

Key Information

  • The NDP model for branches based overseas varies from the standard model to take account of local requirements.
  • Additionally the NDP model for each branch will vary slightly in some areas, although not for that of finance.
  • Bank accounts receiving client monies remain open on migration into NDP for all branches overseas.
  • The Branch Admin Account is retained by Overseas branches, as per the standard NDP model.
  • If you hold any restricted funds for beneficiaries these remain with the branch as per the standard NDP model.

Preparation Actions

As a treasurer of a branch based overseas there are only a few general 'housekeeping' actions that you are asked to take prior to the week of your branch migration into NDP.

This is due to the fact that all branches overseas are retaining the almonisation and procurement stage of cases on Mosaic, along with the current banking structure.

For all live casework please ensure:

  • That all cases are recorded as a case on Mosaic and are not just on a paper form - the Overseas Regional Office (RO) can assist you with this as usual.
  • All live case financial transactions are fully up to date on Mosaic which provides a full case history.
  • As you do regularly, we ask as best practice that you perform a reconciliation of monies against live cases.
  • Remaining balances in the client account need to be returned as a Case Grant Remainder (if appropriate) or transferred to the branch admin account.
  • If you identify any cases that are complete on the financial side, please flag these with the Overseas RO who will check with the caseworker that beneficiary needs have been met, send out the case closure documentation. and close the case on Mosaic.
  • Please inform the RO of the any annuity cases - including the frequency and value of payments.
  • Please provide your RO with details, requirements and gift instrument document of any restricted funds. This will enable the Overseas RO to have a strong understanding when supporting caseworkers in your branch.
  • Financial Records need to be kept for the required 7 years, as per UK guidelines. All documentation older than this can be shredded/disposed of securely.
    • We expect that all recent documentation will already be saved to an appropriate OneDrive, with access granted to the Finance team.
    • If the Branch is unable to store the remaining documentation it can be boxed up and returned to Central Office for storage, appropriately labelled so the Finance Team can destroy documents each year as required.
  • Financial Records will also need to be kept in line with specific guidlines for each country.
