Transition Preparation Guidance for NI and ROI Branch and Divisional Secretaries

This document contains guidance, and required actions, for NI and ROI Branch and Divisional Secretaries prior to the transition into NDP. All Branches will transition into NDP and onto GoAssemble during the week of June 8th 2026.

Key Information

  • Under NDP all casework and caseworkers will be fully supported by the Branch Office who are now responsible for cases, working collaboratively with all volunteers.  
  • Due to the existence of the Branch Office this will create little if any change for you, unlike in the rest of the network where branch offices do not exist.
  • Additionally your branch office has the advantage of 'top cover' via their Regional Office - the Wales, NI, ROI and Overseas Regional Office.
  • We greatly appreciate your support in ensuring a smooth transition, especially for cases that will still be live over the period of change, so that beneficiaries do not feel any impact.
  • Caseworkers remain the main point of contact for the beneficiary, with direct support from the Branch Office.
  • The Branch / Divisional Treasurer has been provided guidance regarding the financial side of transitioning.

NORTHERN IRELAND: the exisiting Divisional Secretaries will move into the role of Regional Peer Support Volunteer in order to ensure that they can continue to use their local knowledge to support the Branch Office with the safe allocation of Caseworkers.

Preparation Actions

As the Branch / Divisional Secretary we would ask that you work with your Treasurer and Branch Office to review all ongoing casework by completing the following actions:

  • If you, or any of your Caseworker volunteers, are holding hardcopy casework files or other client personal information please speak to your Regional Manager who will provide you with guidance on how to destroy the information, or store the information on Mosaic if relevant, in accordance with GDPR.
  • Please request that caseworkers have updated all cases to the extent that they can and support where necessary.
  • Please ensure that the Branch Office are asked to close all cases that have reached that stage.
  • Support your Treasurer in carrying out the requested actions they have been provided with, in relation to ensuring all monies are correctly allocated to a case.
  • O365 will be closed for most volunteers four weeks after transition into NDP, Branch Execs, RPSVs and volunteers who also hold other roles in some other SSAFA services will be identified and retain O365. Please support you Caseworkers should they have queries regarding if information needs to be kept in any capacity. Guidance on this can be found here.

Your Branch Office and your Regional Manager will also be able to support.

GoAssemble Training

Prior to transitioning please sign up for GoAssemble training to help familiarise yourself with the new system, information on how to sign up to the training is in the Signing up for GoAssemble Training guide.

If you are remaining with the branch as a Branch Secretary you will need to also attend the GoAssemble for Managers training, run by the L&D team. This training will talk through additional functions you will need to use on GoAssemble in your executive role. It can be accessed once you have been set up on GoAssemble.

To sign up for this training please follow the steps below:

Log into your GoAssemble account and click on your Initials in the top right corner, the View Profile Details.

Click on the Training tab

This will bring up your required and optional training courses. Select the eLearn-GoAssemble for Managers course to book onto the course.
