This guidance will demonstrate how to upload documents directly to Mosaic from a personal device, removing the need for documents and photos to be stored on a personal device.
This is crucial to avoid any loss of control and oversight of clients personal data.
This process is consistent if you are using Apple or Android software, whether on a smartphone or tablet as long as you can access Mosaic via the URL below on your web browser.
1. On your usual internet browser on your phone, login to Mosaic via this URL mosaic with your usual login details.
2. Once you are logged into Mosaic on your personal device, from the person summary page click “Documents”.

3. Click “Attachments”

4. Click “Upload”

5. Name your file in line with the naming attachments guidance; Mosaic - Attachment Naming Convention | Caseworking | SSAFA Volunteer Knowledgebase
6. The category selected should not be Photo, but Cobseo/SSAFA as below. This is because Photo may be restricted access
7. Subcategories to be used are:
a. Cobseo with subcategory Verification of service on a person record
b. SSAFA with subcategory as appropriate for non-VOS docs attached to a workflow step
8. Click “Choose File”
9. Choose “Take Photo or Video”

10. Once you have taken your photo using your phone’s camera, click “upload”.

11. Your upload is now complete.
