This guide is designed to help branch executives and specialist welfare services team executives use GoAssemble Document Hub. If you have a question about how to use the Document Hub, please reach out to the Volunteer Experience (VE) team.
What is the Document Hub?
The Document Hub is where you store local documents that support your volunteers in their day-to-day activities. It is designed to make it easy for volunteers to find the right information quickly.
Alongside this guide for branch and services team executives on managing the Document Hub, we have also prepared a usage framework for all volunteers and employees, which explains how the Document Hub should be used.
Please note:
- National policies, guidance, and templates are stored in the Volunteer Knowledgebase
- The Document Hub is for local-specific documents only, such as local meeting minutes, event planning documents, non-sensitive local marketing materials.
Your role as an admin
As a branch or services team executives, you are responsible for managing your assigned folder, with the support from your volunteer manager.
You are the only volunteer role who can:
- Upload files in your local folder
Other volunteers can:
- View documents
- Download documents
- They cannot upload, edit, or move files.
How to upload your files
Click on the “Upload file” button. Drag your attachment in the box or click to browse. Click on the “Upload” button.
Fill in the details if applicable. Below are four things you must fill in:
- Display name
- Owner
- File location
- Teams
1. Fill in “Display Name” field
Name the file clearly. Use a simple format so others know what it is (e.g. 20260501 Branch Meeting Minutes).
2. Fill in “Owner” field
Type your SSAFA email address here so if anyone has a question about your file, they know who to reach out to.
3. Choose the correct “File Location”
For caseworkers and branch volunteers:
- Click on the arrow on the left of your Regional Parent Folder (e.g. South West Area), so you can locate your specific Branch Subfolder.
- Select by ticking your specific Branch Subfolder (e.g. Cornwall Branch).
For Specialist Welfare Services teams:
- Click on your Team’s Parent Folder (e.g., SCT).
- Select by ticking your specific Local Team’s Subfolder (e.g., Akrotiri SCT).
4. Choose the correct “Teams”
For caseworkers and branch volunteers, you will be able to find your branch team by typing your branch name in the Search bar.
For Specialist Welfare Services teams, you will be able to find your local team by typing your team's name in the Search bar.
File Location: If you don’t choose the correct folder, the file will appear on the homepage. We have strict control on what types of files can appear on homepage of Document Hub and regularly remove those which shouldn’t be there.
Teams: If you do not select any specific teams, the system would assume your file is universal and this would make your local file visible to everyone in GoAssemble.
Click the “Save file info” button.
Move or rename a file
- Use Move to place a file in the correct folder
- Use Rename if the file name is unclear or outdated
- Always keep names simple and easy to understand
Keeping your files tidy
To help your volunteers find what they need:
- Keep documents up to date
- Remove outdated files regularly: you can also do so by setting an expiry date to the file
- Avoid duplicate versions of the same document
- Use clear and simple file names
Good file name examples:
- 2026 [Branch / Team Name] Meeting Minutes – June
- [Branch / Team Name] Summer Event Plan 2026
Key reminders
- Make sure you select the correct File Location and Teams when uploading a new file
- Do not store national guidance in your folder
- Do not store personal or sensitive information
- If you are unsure, ask your volunteer manager before uploading.
