Sending a message/email to an external email address

Updated on

This article demonstrates how to send an email 'externally' to an email address that isn't linked to GoAssemble.

You will need to use this method to send messages to a SSAFA shared mailbox, for example your RO mailbox or the [email protected].

GoAssemble's Message Centre has many of the usual functionalities of an emailing system, with the advantage of enabling communication without personal email addresses being shared. You can email someone who doesn't have a GoAssemble account; e.g. a beneficiary, by following the steps below.

You can navigate to your Message Centre by clicking the envelope in the top right corner of your GoAssemble screen. Then click the 'Compose New' button at the top of the screen.

To send an external email click “To”, “Cc” and “Bcc” to reveal the advanced search, and select the external option from the drop-down.

When typing in the person’s email, GoAssemble will suggest some of the most used email domains.

The correct external email address needs to be selected from the drop-down list to use it. If the email address you want doesn't appear in the drop down list, continue typing it in fully and you will then be able to select it.

Once you have selected the external address you can compose your message as normal.

Attachments: You can also send attachments externally. Most digital file types can be uploaded to GoAssemble, including pdfs, Word docs, Excel docs, Jpegs etc. As with any system, some files types aren't compatible, you can see a full list of compatible file types here.

Saving a message: The system will automatically save your message every 15 seconds. You will find the saved message in the "Drafts" folder in the Message Centre.

As the message is being sent externally you will not be able to ‘Add as a touchpoint’, like you may be able to when sending an internal message (this function depends on your permission levels)
