Returning from a break Process

A step by step guide for Volunteer Managers

There are 3 routes in which a Volunteer can initiate the Returning from a Break Process. This guide will detail all 3 routes so that as a Volunteer Manager you can follow the steps for each.

Route 1 - Natural completion of Break (i.e. End Date has finished).

  1. Volunteer Manager monitors Dashboard in Go Assemble.
  2. Volunteer Manager selects the REMINDERS tab - and view the reminders list.
  3. Volunteer Manager select the “Hold” against the date of return which will take you to the Volunteer record.
  4. Volunteer Manager opens the comment under the Hold touchpoint (the comment should state the next step which is either a “Reminder to book Returners Discussion or a Reminder to send out a Returners Email”.
    1. Returners Discussion:
      1. Volunteer Manager sends an email via Microsoft 365 with dates to book a Returners Discussion.
      2. Volunteer Manager adds a new comment under the hold touchpoint to say that the this has been actioned.
    2. Returners Email:
      1. Volunteer Manager sends an email via Microsoft 365 using the information in the Due to Return from a Break Email Template.
  5. Go to Volunteer Manager Returners Discussion Actions.

Route 2 - Volunteer Self Return Process

  1. Volunteer decides to return early from a break.
  2. Volunteer logs in to Go Assemble.
  3. Volunteer goes to profile icon in top right of screen (initials of their name) and selects View Profile Details.
  4. Volunteer goes to the Contacts tab and selects Edit against their status which should say “You are on Hold”.
  5. Volunteer unchecks the box next to “I am on hold between the dates below:”
  6. Volunteer then selects the blue button “Save & Close”.
  7. Volunteer Manger is notified within their Dashboard under Notifications “Name of Volunteers was on hold for xx amount of days (date until date).
  8. Volunteer Manager clicks the notification to go to the volunteer record in the Touchpoint section.
  9. Volunteer Manager should complete one of the following:
    1. Returners Discussion (if break was 60 days or under:
      1. Volunteer Manager sends an email via Microsoft 365 with dates to book a Returners Discussion.
      2. Volunteer Manager adds a new comment under the hold touchpoint to say that the this has been actioned.
    2. Returners Email (if break was over 60 days):
      1. Volunteer Manager sends an email via Microsoft 365 using the information in the Due to Return from a Break Email Template.
  10. Go to Volunteer Manager Returners Discussion Actions.

Route 3 - Volunteer Manager completes Returners Process on behalf of Volunteer

  1. Volunteer contacts Volunteer Manager wishing to return early.
  2. Volunteer Manager arranges a suitable time to hold a “Returners Discussion” and uses the Returning from a Break Discussion Guidance and Returning from a Break Checklist for Volunteer Managers to capture the appropriate information and provide updates.
  3. Volunteer Manager logs in to Go Assemble.
  4. Volunteer Manager goes to My Team and finds the Volunteer who wishes to return from a break.
  5. Volunteer Manager selects the Volunteer to opens their volunteer record.
  6. Volunteer Manager goes to the Contacts tab and selects Edit against the volunteers status which should say “Name of Volunteer is on Hold”.
  7. Volunteer Manager unchecks the box next to “Name of Volunteer is on hold between the dates below:”
  8. Volunteer then selects the blue button “Save & Close”.
  9. Volunteer Manager is notified within their Dashboard under Notifications “Name of Volunteers was on hold for xx amount of days (date until date).
  10. Volunteer Manager clicks the notification to go to the volunteer record in the Touchpoint section.
  11. Go to Volunteer Manager Returners Discussion Actions.

Volunteer Manager Returners Discussion Actions

Following on from all routes above the below actions should be followed.

  1. Volunteer Manager holds a Returners Discussion Meeting using the Returning from a Break Discussion Guidance and Returning from a Break Checklist for Volunteer Managers to collect the correct information.
  2. Volunteer Manager saves Checklist Template and meeting notes in Go Assemble as a Touch Point (Individual Meeting): -
    1. ADD TOUCHPOINT (almost top left of screen).
    2. Select Individual meeting.
      1. Add date and time.
      2. Subject: Returning from a Break Discussion
      3. In the Comments box add a brief overview of the conversation.
      4. Attach the Checklist Document.
      5. MARK as PRIVATE.
      6. Select “Add touchpoint”.
