Taking a break Process

A step by step guide for Volunteer Managers

There are 2 routes in which a Volunteer can initiate the Taking a Break Process.  This guide will detail both routes so that as a Volunteer Manager you can follow the steps for each.

Route 1  Volunteer Self Taking a Break Process

  1. Volunteer decides to take a break.
  2. Volunteer logs in to Go Assemble.
  3. Volunteer goes to profile icon in top right of screen (initials of their name) and selects View Profile Details.
  4. Volunteer goes to the Contacts tab and selects Edit against their status which should say “You are active”.
  5. Volunteer selects the box next to “I am on hold between the dates below:”
    1. Selects date range.
    2. Selects contact preference.
  6. Volunteer then selects the blue button “Save & Close”.
  7. Volunteer Manager is notified within their Dashboard under Notifications “Name of Volunteer" is going on hold for xx amount of days (date until date).

Route 2  Volunteer Manager completes Taking a Break Process on behalf of Volunteer

  1. Volunteer is thinking about taking a break.
  2. Volunteer contacts their Volunteer Manager to discuss.
  3. Volunteer Manager arranges a suitable time to hold a “Taking a Break Discussion” and uses the Taking a Break Discussion Guidance to capture the appropriate information and discusses the process and depending on the reason can tailor support.
  4. Volunteer Manager logs in to Go Assemble.
  5. Volunteer Manager goes to My Team and finds the Volunteer who wishes to take a break.
  6. Volunteer Manager selects the Volunteer to opens their volunteer record.
  7. Volunteer Manager goes to the Contacts tab and selects Edit against their status which should say “Name of Volunteer is active”.
  8. Volunteer Manager selects the box next to “Name of Volunteer is on hold between the dates below:”
    1. Selects date range.
    2. Selects contact preference.
  9. Volunteer Manager then selects the blue button “Save & Close”.
  10. Volunteer Manager is notified within their Dashboard under Notifications “Name of Volunteers is going on hold for xx amount of days (date until date).

Volunteer Manager Notification Actions

Following on from both routes above the below actions should be followed.

  1. Click on the notification to take you to the volunteer record in the Touchpoint section.
  2. Set a Returners Discussion reminder:
    1. Break is 60 days or under - Set a reminder for return date. In the comments field add: Reminder to book a Returners Discussion.
    2. Break over 60 days  Set a reminder for 2 weeks before the return date. In the comments field add: Reminder that this is to send out the Returners Email.
  3. If the Volunteer had a Taking a Break Discussion the Volunteer Manager saves Discussion Template and meeting notes as a Touch Point (Individual Meeting): -
    1. ADD TOUCHPOINT (almost top left of screen).
    2. Select Individual meeting.
      1. Add date and time.
      2. Subject: Taking a Break Discussion  REASON (please use one of the following:-
        • Maternity / Paternity / Adoption Break.
        • Childcare responsibilities.
        • Caring responsibilities.
        • Illness / Long Term Health Condition.
        • Bereavement.
        • Moving.
        • Tour / Exercise.
        • Change in Circumstance.
        • Holiday.
        • Burnout.
        • A different reason.
        • Prefer not to say.
      3. In the Comments box add a brief overview of the conversation.
      4. Attach the Taking a Break Discussion Document.
      5. MARK as PRIVATE.
      6. Select “Add touchpoint”.
  4. Reminders can be viewed in the Reminders List and should be checked regularly. Reminders for a volunteer taking a break will always be called “Hold” and you will need to click on the reminder and view the comment in the Touchpoint as a reminder of what task needs to be actioned.
