How to view and accept a casework ‘task’ on Go Assemble - Caseworkers

Purpose

This document will guide you through how to view and accept a casework ‘task’ on Go Assemble (GA).   

The example used is completing a client visit for the purposes of casework. 

Guidance

1. Log into ‘Go Assemble’ 

  1. Ensure your address is up to date – GA will automatically estimate the distance between you and the client visit ‘task’: 

a. Click on your icon on the top right 

b. Click ‘View profile details’ 

c. From the page that opens choose ‘Contacts’ and update your address 

3. On the left hand menu choose ‘Dashboard’ 

4. ‘Available Tasks’ – this is in the middle of your ‘Dashboard’ and it will tell you the number available to you at this moment 

Click ‘View Available Tasks’ 

  1.  ‘Available Tasks’ – show in a summary list 

a. The information tells you what the task is about and how far it is from you 

b. You can click on ‘Map’ to view the location 

c. Click on the task to view it fully 

  1. ‘Click to reveal’ – will show: 

a. The Mosaic case number 

b. Information about allocation of the case on Mosaic should you choose the ‘task’ 

Please note that the full triage information is held in the Mosaic case and cannot be put in GA 

  1. On the right-hand side, you will see the information 

a. ‘Due by’ is the date by when you are requested to arrange the client visit 

b. ‘Status’ this currently shows that no-one has accepted the case yet 

c. ‘Priority’ will match with the date by which completion is requested 

d. ‘Assignee’ your name will go here if you choose the task 

e. ‘Category’ in this example we are using ‘Client Visit’ 

f. ‘Teams’   reflects where you volunteer in the country 

g. ‘Roles’     will show your role on GA e.g. caseworker 

h. ‘Owner’ is the person in the Regional Office who created the task 

Please click ‘Assign to me’ If you are happy to take the case 

  1. After clicking ‘Assign to me’ this will be your view 

a. You may see an attached document to help you with the ‘task’ 

b. Once you have finished the ‘task’ of completing a visit with the client press the ‘complete task’ button on the right 

c. If the client decides not to continue with a visit, also press ‘complete task’ 

d. If you are unable to complete the ‘task’ press ‘leave task’ – for further information on this, see point 10. below 

9. After pressing ‘Complete Task’ please do the following:

  1. ‘Duration’  enter the estimated amount of time you spent on this ‘task’ of completing a client visit (you will be able to see your running totals on your ‘Dashboard’)
  2. ‘Activity Outcome’  set the case status to one of the following:
    1. ‘accepted’  if you have completed the visit
    2. ‘client withdrawn’  if this occurs it will then ask you to give further information, keep it to non-identifiable basics in GA please.
  3. Then click ‘Completed’

From this point all the client information will be recorded in their Mosaic case at Stage 2 ‘Application for Assistance’, including attaching all supporting documents here.

Please also record the date of your visit with the client on Mosaic.  Guidance on this can be seen in ‘How to record a client visit’

10. ‘Leave’ a task early

Use this if you as the caseworker (rather than the client) are unable to complete the task:

  1. When choosing a reason from the dropdown list, you won’t need to choose ‘no response from task owner’ as they are a member of the Regional Office which works as a team.
  2. There is also a ‘comments’ box for use  please remember not to put any client specific information/data here.
  3. The RO will offer this ‘task’ to other caseworkers and reassign it on Mosaic.
