How to set up a Stand

This guide is designed to support volunteers setting up a SSAFA stand at a wide range of events, both indoors and outdoors. A consistent, welcoming stand helps present a clear message about who we are, what we do, and how we can support the Armed Forces community.

It will outline simple, practical steps on how to set out your table, display materials effectively, and position banners for maximum visibility, while allowing flexibility to suit different venues and event types.

The aim is to help every stand look professional, approachable, and engaging for members of the public. This will keep a consistent feel across the organisation and will establish better brand recognition among the public.

Outdoor stand with Gazebo

Setting the table as below removes a barrier and gives an inviting area the public feel they can enter and have a look around

1. The logo facing into the Gazebo on the back wall draws the eye into the gazebo. The logos on the side walls face outward, ensuring visibility to people as they move around the event

2. Fundraising Table: On the right hand side the table is dedicated to the game and fundraising. The spin to win game and all prizes/giveaways are on this side of the table.

3. Awareness Table: On the left hand side the table is dedicated to awareness providing a calmer space for conversations about SSAFA, and merchandise for sale.

4. Banner: Information banner outlining in brief what SSAFA does. These can be ordered from the marketing hub and there are a variety of designs.

By having two tables within the gazebo, volunteers can focus on different activities at the same time. One table can run the game and engage people in fundraising, while the other creates space for meaningful conversations about SSAFA with members of the public.

Indoor Stands

Stand in front of the table/slightly to the side so that the table does not become a barrier between you and the public.
